Staff Senate Minutes

October 6, 2004

Seminar Room—Student Memorial Bldg.

Members Present: Amy Baca, Julia Biglin, Mary Hittle, Cindy Holladay, Barbara James, Leonor Mendoza, Julia Morales, Anita Rios, Adele Springer, Sylvia Villegas

  1. Open Meeting
  2. President James called the meeting to order at 10:01 a.m.

    1. The meeting began with the Pledge of Allegiance.
    2. Outgoing President, Barbara James, swore in the new President of the Staff Senate, Mary Hittle.
    3. President Hittle swore in the following new senators: Amy Baca, Cindy Holladay, Adele Springer, and Sylvia Villegas. The senators introduced themselves to audience.
    4. President Hittle expressed thanks to the following outgoing senators in attendance: Dean Foster and Margaret Soucy.
  3. Approval of Agenda
  4. Senator Holladay made a motion to approve the agenda and Senator Baca seconding. Motion carried.

  5. Approval of the minutes
  6. Senator Morales made a motion to approve the minutes from the September 1, 2004 meeting, with Senator Rios seconding. Motion carried.

  7. President’s Report
  8. President Hittle would like to set up a meeting with all the new senators. She will e-mail the senators with the date and location.

    Parliamentarian Cynthia Betison has submitted a resignation from the Staff Senate.

  9. Treasurer’s Report
  10. The Staff Senate account has a balance of $108.62 and the Staff Recognition account has a balance of $642.02. Margaret Soucy informed the group that she obtains these balances from Jody Alderman and Dan Tressler.

     

     

    Senator Morales asked why the Staff Senate account decreased $191.38, since the last meeting. Senator Biglin said the amount was for the picture frames for the employee of the month pictures in Castorena Hall. President Hittle will check the budget the Business Office.

  11. Old Business
  12. Committee Reports

    A. Staff Handbook—Senator Springer stated the procedural proposal for changes to the handbook was approved unanimously by a vote. Any changes to the handbook will be sent out to the staff for a vote with a pass or no pass recommendation from the Staff Senate on each proposal.

    B. Election Committee--Senator Rios stated the election process had to be done twice due to the fact that several staff members were not on the original list. She asked where the most accurate list could be obtained for future elections. Senator Rios call a meeting of the committee to fill the position vacated by the resignation of Parliamentarian Betison. President Hittle thanked Senator Rios for her hard work on the currently held election.

    C. Reward and Recognition—The committee met to select the Employee of the Month. Senator Biglin asked for the Staff Senators to review the passed out Staff Employee Retirement Recognition Plan for revision or questions. Senator Morales stated the language in retirement plan (section 3.1) should be changed to match the wording that was approved in the minutes. The following language could be incorporated into the section, "For those not wanting to attend a retirement party at the President’s home, then a party could be held at the time of retirement hosted by the Staff Senate". Senator Biglin will bring these changes back to the senate at the next meeting.

    D. New Employee Orientation—President Hittle has the list of all new staff. She will forward this list to the new chair of the committee.

  13. New Business
    1. Employee of the Month—October 2004. President Hittle and Senator Biglin
    2. recognized Rebecca Estrada, from the Extended University Department, as the October Employee of the Month.

    3. Career Services Website—Marie Leck, of the Career Services Department,
    4. demonstrated their department website. The website has information on job fairs, job postings, and preparing for the interview.

    5. Assessment Convocation—Please see President Hittle if you are interested in

    assessment opportunities for staff. This will become a state mandate in the future.

     

     

     

  14. Open Forum
    1. The next meeting will be held on November 3, 2004 at 10:00 in the Seminar
    2. Room.

    3. Senator Mendoza apologized to the group for being late to the meeting.
  15. Adjournment

Senator Biglin made a motion to adjourn the meeting, with Senator Baca seconding. Motion carried.
