Meeting was called to order by Dr. Vowell at 2:03 pm.
1. Intranet: Jason Collet of CATTS - WNMU Shared Network Drives with handout.
- CATTS with directive from Dr. Vowell has created a system of networked drives that will provide better flexibility with information pooling and sharing.
- Departments are urged to use this network to centralize and maximize resources.
- General Use Drive (K drive) will be accessible to anyone logging on to WNMU-NET domain.
- This will be an open environment serving to facilitate resource sharing.
- Files will be added or removed by anyone at anytime.
- Julie Miller, Library, spoke of the usefulness of the network for the Library staff.
- Department Drive (L drive)
- Computer must have user account to WNMU-NET Domain
- This will be accessible only to members of the appropriate department.
- It will allow file sharing within the department.
- Department chair determines access to L Drive.
- Chair submits request to Jason Collet in hard copy (can be done immediately).
- CATTS team will configure computers and do first time log in.
- Projected Goals for Access
- On campus and Watts Hall by March 2001
- Museum will not have access until it is wired. This is in CATTS plans
- CATTS will research use of Dial up Access and Web Resources to those buildings with no WNMU-NET access.
- Dr. Vowell suggested Campus Pipeline Program as another resource.
- System back up
- Jason will back up drives.
- An archival system will be developed as use of network expands.
2. Academic Quality Improvement Program (AQIP)
- Update by Kathie Gilbert
- The application for the AQIP has been approved.
- A draft of the application document was passed out to attendees
- www.aquip.org <http://www.aquip.org> shows more of the background for the document
- department faculty are urged to look at the document and filter feedback to the team prior to the Feb. 8 meeting.
- Once feedback has been received, the revised document with be distributed throughout the campus.
- A meeting of 8 institutions participanting in the AQIP endeavor will be held on Feb. 8, 2001 in Phoenix
- WNMU team consists of: Dr. Counts; Dr. Vowell ; Dr. Farren; Chris Casey; Gwen Cassel, Faculty President; Curtis Hayes, Faculty VP; Peggy Lankford, Staff President; and Jerry Harmon, Dean School of Education.
- Teams will critique and refine documents submitted by other institutions.
- Three months after the Phoenix meeting, WNMU will submit the refined document to North Central. This will form the basis of our next accreditation.
- Process comments
- Gwen Cassel is suggesting more input from chairs and faculty
- Department impact will be through unit plans and strategic plans
- Department goals and MBO’s will be aligned with the North Central document which will flow into the year 2001-2002.
- North Central will expect real “targets” and will help address issues facing the institutions.
- A volunteer is needed to attend the ACT Assessment Conference in San Antonia on Feb. 15th. Contact Kathy Gilbert.
- Assessment Dates
- Looking at April 3 & 4 2001.
- ACT-CAP will be given to rising juniors with a critical thinking piece being added this year.
- On same days a Student Needs and Satisfaction Survey will be administered to all students. This will take one class hour to complete.
- There will also be a Faculty/Staff Survey conducted at this time using double envelopes and a tracking system.
3. Adjunct and overload contracts
- Judith Lawrence reported that Academic Affairs is attempting to streamline the contract process.
- Contracts are now generated internally, signed by Dr. Vowell and then sent to Human Resources.
- To speed the process, the course CRN #, SS# and the budget ACCT # must be correct.
- Human Resources will notify the department when contract are complete and ready to be signed.
- First pay period for adjuncts is February 15 per Virginia Manzano in Payroll.
- A suggestion was made by Dr. Vowell to update the contract request form and put it on the Web for electronic processing.
4. Office Security
- June Decker reported two instances where offices were unlocked, doors left open and computers left on. In each case, the office occupant was certain that all was locked at the end of the day.
- Larry French stated that similar problems been reported in the past and there has been no resolution to this.
- After discussion, here are recommendations from the chairs:
- Have maintenance schedule a check of all outside doors to campus buildings to insure that door-closing mechanisms are functioning properly.
- With buildings having consistent problems, would re-keying the building be a solution?
- Reinstate the “security log” system-a 3 part form
- All doors checked by security, showing date and time of check
- Signature of officer completing the building/door check
- Log was then distributed to building supervisor on a regular basis.
- Cynthia Bettison questioned the existence of a security committee. She received a memo in November of 2000 from Eloy Gonzales stating there would be a meeting. No further information was received.
5. Post Tenure Review and Program Review list for 2000-2001
- Time Frame for Post Tenure Review
- According to June Decker, the end of the fifth year and every five years thereafter.
- Review starts in Fall with the chair reviewing the faculty portfolio, and MBO’s allowing time for feedback and time to mediate corrective statements.
- Jerry Harmon suggested that the review be completed anytime from Jan. 18-April 4, 2001.
- Dr. Vowell asked each chair to check for post tenure reviews due in 1999-2000 term. If the review was not done last year, the review should be this school year.
- Program Review Time Frame
- Dr Vowell will recreate the chart of 5-year rotation on the General Use Drive.
- The program review is submitted to C & I one year after review is completed.
- It was suggested that the accreditation programs be reviewed the same time as program review.
- Julie Miller stated that David Kent and Sara Scales have developed a library materials list to complement program reviews and is available to departments.
6. Draft of Staff Hiring Policy
- The policy draft was handed out. If there are any questions, please e-mail Dr. Vowell.
7. Summer Session
- Summer and Fall Schedules are due to VPAA on January 26, 2001.
- The beginning and ending dates of the summer session are outlined in the October 13, 2000 letter from the VPAA to all departments.
8. Role of Secretaries
- June Decker submitted a draft of academic secretaries’ skills and knowledge that will be part of the reclassification and compensation study to be conducted by human resources.
9. Anouncements
- On Wednesday, Jan. 24, Friends of Miller Library will co-host an evening with JoAnn Mazzio about the American Antiquarian Society. This will be at 7 pm.
- McCray Gallery will feature Eddie Sulca, a weaver and national treasure of Peru on Fri. Jan. 19, 2001 at 5:30 p.m.
