Additional Plan Documents A quick reading of the Incident Response Plan will demonstrate that there are a number of other documents required to make the plan complete. I have started to list these documents below along with a description of what I think they contain. I've set up each document name as a link to a page where we can outline or create the document.(DE 10/11/07)
International Emergency Response Plan?:contains the information needed to address an emergency in a foreign country that may impact WNMU students studying in another country. The document includes emergency preparedness guidelines, procedures for responding to general emergencies and specific incidents, and an emergency communication plan.
Incident Contact List?:contains the names, titles, organizations and contact information of every responder CIRT may wish to contact regarding an incident. This includes CIRT members, the Executive Council, Campus Police, Grant County service providers, GRMC administrators, area transportation operators, etc.
Campus Crisis Packet(s)?:these packets appear to contain detailed instructions for specific types of incidents along with the information necessary to operate within the Incident Response Plan.
Sodexo Contract Addendum?:this would be the contract language that commits Sodexo to their responsibilities in the various Incident Plans and commits WNMU to pay Sodexo for those services if rendered.
Pocket Crisis Response Card?:an indestructible business card that contains the information anyone on campus should know about how to respond to a crisis, e.g. who to call first, contact information, what to do or not do, etc.
Crisis Packet Storage Poster?:posters placed next to the crisis packet containers indicating that yes, you should be able to get your crisis packet from this container.
Canned Announcements?:this is a set of pre written announcements that can be quickly provided to the WNMU community, the public, or the press, stating that there is crisis activity going on, that WNMU has plans to deal with crises, and that additional information will be provided as soon as it becomes available. Additionally, there will be templates for informational announcements such as opening delays or cancellations.
Emotional Support Plan Template?:in most situations, there is a requirement to establish an emotional support plan for students and/or affected parties. This template would simplify and accelerate the creation and implementation of that plan.
MOUs With Various Utility Companies?:These are memorandums of understanding between WNMU and the various utility companies predefining how WNMU and the Utility will work together during a crisis. There probably should also be MOUs with the Silver City Fire and Police Departments as well as local motels, the City of Silver City, etc.
Web Page Update Templates?:a document that aggregates information necessary to update the WNMU web pages.
Phone Bank Scripts?:scripts that can be used by the people manning the phone bank to deliver information or to help those people deal with unhappy outside callers.
Phone Bank Implementation Plan?:the documentation of the process of setting up the phone bank for use in a crisis situation. This should allow any technical person to set up the phone bank even if the designated phone bank support person is incapacitated.
Materials Inventory Book?:this is a looseleaf notebook that contains a list of any hazardous chemicals and/or materials found in each building along with the MSD sheets for each of those items. Each building should have both a list and a set of MSD sheets. Keep a copy in Maintenance and in both Packet containers.
Maps and Floor Plans?:detailed maps of the campus should be available as well as detailed floor plans of each building. The maps should include the locations of sewer, water and gas mains as well as any buried communications lines.
