How to schedule a Videoconference

If you need to schedule a videoconference, the first step is to determine which locations will need to be involved.  Once you have decided which rooms you need to connect, the next step is to contact the various locations, and make sure they are available for your planned videoconference.  Once you have contacted the room owners, and scheduled the rooms for your conference, you will need to make a connection request via the ITV website.  The connection request form can be found under the “Internal Forms” link in the Site Facilities section of the website.  Once you have filled out this form and hit “submit,” ITV personnel will set up the connection you have requested.  Make certain you fill out the form at least a week before you intend to connect, in order to give ITV personnel time to set up and test your requested connection.

ITV personnel can be reached by dialing 6061 from the phone on the desk next to the computer in the AV rooms, by emailing us at itv@wnmu.edu, or by dialing our individual extensions.  The technicians may be reached at extensions 6160 or 6313, and the ITV manager can be reached at extension 6437

Common Issues (Troubleshooting)

If you see a blue screen:  Try pressing the Camera button and selecting one of the camera feeds.  If you are trying to display input from the switchbox, check to make sure the appropriate button is depressed on the switchbox, I.E. if you want to see the feed from the document camera, check to make sure the button under “Document Camera” is the one that is depressed.

If the other location(s) cannot hear you: Check the microphone.  If the button in the center is lit up with a red light, it is set to “Mute.”  Press the button to deactivate mute.

If you cannot hear the other location(s):  Ask them to check their microphone.  If the button in the center is lit up with a red light, ask them to press the button to deactivate their “Mute” mode.

If you have problems not listed here, or these steps do not work, please contact the ITV technicians.  The ITV booth can be reached by dialing extension 6061 from the phone next to the computer.

Reporting an Issue

If you experience an issue, go to the ITV website,  (http://www.wnmu.edu/ITV/itvhome.html) click on the Contact Information tab, and then click on Trouble Report.  Once you have finished filling out the form, click “Submit.”
